Privacy policy
This policy explains how Ariven (“we”, “us”) handles personal information when you use Kids Writing (the “Service”) — our online English writing practice product for Australian learners roughly aged 7–12 and their families. We respect privacy and design the Service with young learners in mind.
We collect and handle personal information in line with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs). If you have questions, contact support@kidswriting.com.au.
1. Who this policy covers
This policy applies to parents, guardians, or other adults who register an account, and to information about the learner using the Service under that account. The Service is structured around one learner profile per account.
2. What we collect
Depending on how you use the Service, we may collect:
- Account and contact details — for example, the email address used to sign in and authenticate (handled through our authentication provider).
- Learner profile — such as a display name or nickname, school year level or learning band, language preferences, and settings needed to tailor prompts and difficulty.
- Writing and learning activity — drafts, essays, revisions, submissions, feedback history, progress or reward information, and similar content generated while using writing modes and coaching features.
- Technical and operational data — such as security-related logs, diagnostic events we need to run and secure the Service, timestamps, and identifiers that link activity to your account in our systems.
- Optional details you choose to provide — for example if you contact support or fill in settings fields where we offer them.
We aim to collect only what we need to deliver the Service safely and well. We do not ask learners for unnecessary identifying details as part of normal practice activities.
3. Children's information
Kids Writing is intended for family use with adult supervision. The adult who creates the account should consent on behalf of the household and decide what information is appropriate to enter. If you believe we have collected personal information from a child without proper authority, please contact us and we will investigate.
4. How we use personal information
We use personal information to:
- provide writing activities, coaching, feedback, gamification, and progress views;
- operate AI-assisted features (see below), including generating suggestions or feedback on writing you submit within the Service;
- keep accounts secure, detect abuse, and troubleshoot issues;
- improve reliability and educational quality of the product;
- send service-related messages (for example sign-in, security, or account notices) and respond to support requests;
- meet legal obligations and resolve disputes.
We do not sell personal information. Third-party AI providers may retain or process API requests under their own policies and our commercial settings; we configure integrations for educational delivery rather than for unrelated marketing.
5. Artificial intelligence and moderation
Some features send portions of your content or prompts to external AI services so we can return coaching or feedback. Those providers process data under their own terms and security practices. We configure integrations to support educational use and apply safeguards (such as safety or content moderation tooling where we use it) appropriate to a children's learning product.
AI-generated suggestions may be imperfect. You should treat outputs as assistance for learning, not as human judgement or a guaranteed assessment of school work.
6. Disclosure and overseas handling
We may share personal information with:
- Service providers who help us host the Service, store data, authenticate users, send email, process payments (where applicable), provide analytics or security monitoring, or supply AI and cloud infrastructure — only on our instructions and subject to confidentiality and security expectations.
- Authorities when required by law or to protect rights, safety, or integrity of users and the Service.
Some of these providers may store or process data outside Australia (including in the United States or other regions). Where we disclose personal information overseas, we take steps that are reasonable in the circumstances to ensure the overseas recipient does not breach the APPs, in line with Privacy Act requirements.
7. Cookies and similar technologies
We use cookies and similar mechanisms needed for sign-in sessions, security, and basic product functionality. You can control browser cookies through your device settings; blocking essential cookies may prevent parts of the Service from working.
8. Security
We use administrative, technical, and organisational measures designed to protect personal information from misuse, loss, and unauthorised access or disclosure. No online service can guarantee absolute security; please use a strong password and keep your login details private.
9. Retention and deletion
We keep personal information only as long as needed for the purposes above, including legal, accounting, or reporting requirements, unless a longer period is required or permitted by law. When no longer needed, we delete or de-identify it using processes appropriate to our systems.
You may ask us about deleting or restricting certain information. Where we cannot fully delete data for technical or legal reasons, we will explain the position and what we can do instead (such as de-identification).
10. Access and correction
Under the APPs you may request access to personal information we hold about you or ask us to correct inaccurate information. We will respond within a reasonable time. There are limited exceptions under the Privacy Act (for example where giving access would unreasonably affect others' privacy).
11. Complaints
If you believe we have mishandled your personal information, email us first at support@kidswriting.com.au so we can try to resolve the matter. If you are not satisfied, you may complain to the Office of the Australian Information Commissioner (OAIC) — see oaic.gov.au.
12. Changes
We may update this policy from time to time. We will publish the new version on this page and adjust the “Last updated” date. For significant changes we will provide additional notice where appropriate (for example by email or an in-product notice).
